Why studios are leaving Mindbody

5 concrete reasons to switch

01

$99 is just the headline — real costs run $300–700+ once add-ons stack up

Mindbody advertises “from $99/month per location.” What actually gets added: the Branded App add-on (~$249/month) on every tier, the marketing module, SMS messaging, premium support, and a paid implementation (4–8 weeks) at the start. Capterra and G2 reviews routinely place real Mindbody bills for solo and small studios in the $300–$700/month range. Multi-location studios climb past $1,000/month quickly.

With StudioBook

$69/month. Flat. Branded App in your store: +$99/month, optional. No setup fee, no per-tier add-ons, no SMS or marketing modules priced separately — every feature is in the same price.

02

Long-term contracts with no real exit clause

Multiple verified Trustpilot and Better Business Bureau reports describe Mindbody contracts of up to 24 months without an early-termination option. Even with documented software problems, studios remained locked in. Sales reps often promise short notice periods verbally — the signed contract reads differently. Several reviews mention a $180 charge despite a cancellation request.

With StudioBook

Cancel any month. No minimum term. No hidden exit clauses. You decide every month whether to stay — not a Contract Evaluation Committee.

03

Per-location billing punishes growth

Mindbody's price scales linearly with locations. Two studios in two cities = double the price. Three = triple. On the Accelerate tier ($259–279/month), three locations quickly push past $800/month in software fees alone — before marketing, the Branded App, or implementation.

With StudioBook

$69 flat — regardless of how many locations or rooms. Growth is on you, not on a bigger invoice.

04

Your members pay directly into your bank account

Mindbody routes member payments through a Mindbody-owned account first, then settles to you. With StudioBook, members pay through Stripe Connect directly into your own Stripe account. Stripe is a recognized payment processor (used by US giants like Slack, Lyft, Shopify). You are Stripe's customer — we're not in the middle. When you eventually leave us for any reason, your Stripe account comes with you.

With StudioBook

Your money never flows through a StudioBook account. Your Stripe account stays yours — you take it wherever you go next. We want you to stay because StudioBook is genuinely useful, not because exit is painful.

05

Mindbody is now part of a $7.5B fitness conglomerate — boutique studios are no longer the focus

In March 2026, Mindbody's parent company Playlist merged with the Munich-based EGYM. Combined valuation: $7.5 billion. EGYM operates 33,000+ fitness locations and 20,000+ corporate accounts. The official press release reads: "AI investment focused on gym-club efficiency." The strategic priority is large gym chains with AI-powered hardware integration — not independent boutique US studios.

With StudioBook

No investor pressure, no acquisition roadmap, no parent conglomerate. StudioBook is focused on class-based studios — nothing else. The features we build, we build for you.

What's changing right now

Mindbody is now part of a fitness conglomerate — yoga and pilates studios are no longer the focus.

In March 2026, Mindbody's parent company Playlist merged with EGYM (Munich-based). Combined valuation: $7.5 billion. EGYM operates 33,000+ fitness locations and 20,000+ corporate accounts through the Wellpass platform.

This isn't speculation — it's in the official announcement: "AI investment focused on gym-club efficiency." The strategic priority is large gym chains with AI-powered hardware integration.

What you lose as a yoga, pilates, or other class-based studio:

  • Product attention. Boutique studios are a smaller share of the business than ever before.
  • Strategic priority. The new conglomerate optimizes for studios with 50+ employees and hardware sales — not for small or mid-size independent studios.
  • Negotiating leverage. In a conglomerate with 40,000+ Mindbody studios, you're a row in a spreadsheet.

Structurally different

Features you actually need — instead of features the roadmap prioritizes

Mindbody has 40,000+ studio customers worldwide and an industrial-scale roadmap process to match. If a feature is missing, your request lands in a global feature-request pool. The reply comes months later, or never.

StudioBook works differently. We've shipped features at customer request within a few days — because a studio needed them. If something's missing, you get an honest reply within a day: usually we build it soon. In the rare cases where a feature would hurt other studios or clash with our product philosophy, we explain transparently why we should find a different path together.

This isn't a marketing promise — it's structurally how we work. Product decisions come out of direct conversations with the studios using StudioBook. No 18-step approval process between your request and the implementation.

How the switch works

Mindbody to StudioBook in three phases

We do the heavy lifting. You don't need to learn CSV exports and migration tools — we'll walk you through every export step and then handle the import, the data review, and the member communication.

Phase 1

Data migration

We handle the heavy lifting

  • You export your data as CSV from Mindbody — a few clicks, with exact instructions from us. Your Mindbody login stays with you at all times. We're available by email or phone if you have questions.
  • We import members, active memberships (including remaining credits), class types, and the schedule into your new StudioBook account
  • We review the data with you before anything goes live

Phase 2

Member handover

Without confusion for your members

  • We prepare personalized emails to your members — sent from your studio email address, in your tone, with your branding
  • Each member gets a magic-link to log in directly — no password, no new account creation
  • Active members re-enter their card once via a secure Stripe link we send on your behalf (only required if you were on the Mindbody Processor — if you're already on Stripe Connect within Mindbody, cards often transfer directly)
  • You set the pace: the handover happens gradually, no pressure and no cutoff date when everyone has to switch at once

Phase 3

Full switchover

On your timeline

  • While your Mindbody contract is still active, both systems run in parallel — new sign-ups and new bookings go directly to StudioBook
  • Cancelling your Mindbody contract is on you (it's a direct contract matter between you and Mindbody) — you adapt the member-switchover timing to whatever cancellation date you choose
  • No pressure, no risk: you don't pay double during the transition because StudioBook starts in your 30-day free trial

Personal handover

We handle the data migration personally for you

You don't need to learn CSV exports and field mappings. We migrate your Mindbody data with you, with a single point of contact through the whole switch. Migration is included in the monthly price — no extra charge.

Frequently asked questions

FAQ on switching from Mindbody

Do I lose data when I switch?

No. Members, active memberships (including remaining credits), class types, and the schedule migrate fully. Your booking history is preserved as an archive.

Do my members need to re-enter their cards?

If you were on the native Mindbody Processor: yes, once — via a secure Stripe link we send on your behalf. If you were using Stripe Connect within Mindbody: cards can often transfer directly.

How long does the data migration take?

We start with a short call to walk through how it works — then we handle the actual import ourselves. The member transition then runs automatically: each member gets a personalized email with a magic-link and a Stripe link to add their card the next time they want to book.

What if I'm still on an active Mindbody contract?

You can start StudioBook anyway and run both systems in parallel. Cancelling your Mindbody contract is on you — that's a direct contract matter between you and Mindbody. Mindbody contracts often have long minimum terms and notice periods, so it pays to plan the cancellation date carefully.

What about ClassPass?

Mindbody owns ClassPass (since 2021), and Mindbody studios are commonly auto-enrolled in the ClassPass network with commission per booking. Once you're on StudioBook, you're not on any marketplace by default — you own the direct customer relationship. If you want a ClassPass presence, you keep your studio listed on ClassPass directly (independent of your booking software).

Where is my data stored?

All studio data is stored on Supabase Postgres in Frankfurt (eu-central-1). Data is hosted in the European Union under data-protection standards that meet or exceed US state privacy requirements (CCPA, CPRA, VCDPA, CPA).

Does it handle sales tax and receipts?

Every paid booking generates a sequential receipt your bookkeeper can use. Stripe Tax (optional) calculates state sales tax at checkout where you're registered. Refunds generate credit memos automatically.

What does migration cost?

Nothing extra. Personal migration support is included in the $69/month — no setup fee, no migration charge.

What happens if StudioBook doesn't exist in a few years?

We're building StudioBook to last — sustainable flat pricing instead of investor-driven growth, a lean team, a cost structure that already works today. That said, we've intentionally built in three safety nets so you're never dependent on us: (1) Export all your data as CSV at any time — members, memberships, booking history, receipts. (2) Your Stripe account belongs to you, not us — full dashboard access, take it to any other platform. (3) We don't use a proprietary payment processor or vendor-locked data structure that would make switching painful.

Do you have references or can I talk to an existing customer?

Yes. StudioBook is a young platform — we'd be happy to connect you with an active customer so you can get a firsthand impression. Drop us a note about what's important to you in the conversation.

Does StudioBook work for non-yoga studios?

Yes. StudioBook works for any class-based studio: dance schools, martial arts, fitness studios with class offerings, music schools, pottery and art classes. If you teach classes with fixed capacity, StudioBook fits.
